About 15 years ago, the Inland Library System and County of Los Angeles Libraries, for financial reasons, decided to cancel their library showcases. They did not want to commit the time and expense to putting on these showcases. Dream Shapers is an artist run organization that includes a steering committee of both Dream Shapers and independent artists. We all knew how important showcases were to artists for getting work on an annual basis in the libraries. We realized how expensive marketing would become to independently market directly to libraries. We also knew how hard it would be for artists to get past the “I need to see you perform” view that many librarians hold without a showcase. We felt we had the infrastructure and could manage and present the showcases and directories for the library systems if they would commit to sending librarians to the events. Both systems agreed and so Dream Shapers began hosting the library showcases and producing all the collateral materials including the directory. However, we did not have the finances to offer artists a free showcase. We received no government funding or grants that would offset the costs. Instead we came up with artist participation fees that would finance the showcases and directory. Simply, the artist participation fees finance and support the Management and presentation of the showcases Collection of and assembly of all the information, Printing of the directory Distribution of the directory, Communications and support for all artists, Management and running of 4performers.com and it’s video showcase, And many of the other outreach and educational events (IE: PerformerCon) we offer artists every year for professional development, artistic development, and marketing. The key factor to keep in mind about the fees is that, from a business standpoint, the showcases and directory are the most cost effective form of direct marketing to specific buyers of your programs that any artist or performer can do. The most expensive package reflects a cost of less than average price of 4 bookings. Where else can you advertise your product that effectively and at that price?

Dream Shapers has always been an artist run and an artist centered non-profit organization. Everything we do is to offer every participating artist the ability to effectively present themselves to libraries.

Any of us who have showcased at other library showcases know how unfair, non-artist centered, and unreasonable they can be. Our goal is to never do anything that hurts or hinders a quality artist’s ability to present themselves and obtain bookings.

Consideration to Showcase” means that every artist who participates above the bronze level will be considered to showcase. However, because of limited space on each of the showcase we have come up with a system, in conjunction with the libraries, on how presenters are considered and chosen for a showcase.

  1. Presenter time slots are chosen using the following criteria:
    1. Presenters who have submitted their application and made payment by final deadline.
    2. All presenters must have library affordable pricing in order to be considered for a showcase time slot. Anyone at any price can obtain a directory listing, however, the basic guideline for library affordable pricing is as follows:
      1. Generally, programs under $300.00 are considered “Most Affordable.” Under $350 “Library Affordable.”
      2. There are a few considerations (especially animals) that allow a demonstration of over $350.00 to be presented at the showcase. You can check with Dream Shapers on your specific program for clarification.
    3. New artists must complete the application, make their payment and submit all their new artists by either the early bird or final deadline. Their information will be reviewed and a determination will be made about their participation.
    4. New Presenters will receive a time slot provided:
      1. They provide all the new artist information and are accepted.
      2. That they have library affordable pricing (generally but not limited to under $300.00)
    5. Eligible “Tried and True” presenters who did not showcase at the 2016 County of Los Angeles Showcase and at the 2017 ILS showcase, who participated in the 2017 directory, who have library affordable pricing, and have signed up and made their payment by the final deadline will be given the 1st available time slots.
    6. Tried and True” presenters with very different programs who showcased at the 2016 County of Los Angeles Showcase or the 2017 ILS showcase, but have a very different program offering and have library affordable pricing, will then receive additional consideration to showcase.
    7. Tried and True” presenters who presented at the 2016 County of LA Showcase or the 2017 ILS showcase will be chosen based on who will help provide variety and diversity to the showcase (if we do not have enough performers in any specific category).
  2. We try, when time permits, to give all presenters present at the end of the day a 2 to 3-minute time slot to give quick information on their program. Sign up on the day of the event at the Presenters Registration Table.
  3. No fill in time slots are offered at any showcase.
  4. Basic selection structure for choosing artists is as follows:
    1. New presenters with programs under $300.00
    2. Eligible “Tried and True” presenters with programs under $300.00
    3. Tried and True Presenters with very different program offering under $300.00
    4. New Presenters under $350.00
    5. Eligible “Tried and True” presenters with programs under $350.00
    6. Tried and True Presenters with very different program offering under $350.00
    7. Tried and True” presenters who will help provide variety and diversity under $350.00.
  1. Fee Guarantee. The fee listed in the Directory for the program offered and presented at the showcase must be guaranteed for all programs booked for summer reading 2018 (June – Sept 2018).
  1. Program Guarantee. The program demonstrated at the showcase must be a sample of the program listed in the directory. If performers demonstrate as a duo or group, the duo or group will perform the program at the library. Do not showcase anything you can’t deliver to the libraries for the advertised price.
  1. Availability
  1. All artists must be available to all libraries within each of the areas for which you list pricing. NA entry will mean that you are not available to an area.
  2. All artists must be available for general bookings for the summer of 2017. If you book programs for summer and then cancel due to out of town bookings you will not be eligible to participate in the future.
  1. Professionalism
    1. Must have website and all social media connected to your business and shows reflecting high-standards with regards to children’s and family entertainment.
    2. Internet searches will be conducted and questionable results can result in an artist not being accepted to participate.
    3. All artists are subject to acceptance by Dream Shapers, County of Los Angeles Libraries, and the Inland Library System who make all final decisions with regards to the participants. Decisions are based on quality of programs, letters of reference, professionalism based on website and social media, and appropriateness for Children’s and Family audiences.
  1. Code of Conduct.
    1. With Libraries: All presenters must meet a professional code of conduct and professionalism to be considered for future participation. This includes the content of the program presented, the adherence to all our and library rules and requirements, and the meeting all contractual requirements. These include: presenting the show requested at the fee requested, not canceling shows to take a better job, late arrivals, no shows, presenting inappropriate materials, content, or humor, and changing programs to raise fees. Strong complaints from librarians can lead to not being invited to participate or turned down from participation in the future.
    2. At Showcases and Expos: It is important that all performers attending the showcases and expos respect the other performers and the attendees. We do not allow handing out of literature or information anywhere other than at your expo table, not in halls, on chairs, etc. Do not interrupt other presenters talking to prospective clients. Be quiet in the Expo areas when showcases are being presented. Be kind and courteous to everyone involved in presenting the showcase as they are all volunteers.
Dream Shapers established a website for all participating performers in our Library, school, and city directories to offer the following:
  1. A site that readers of our directory could log onto and
    1. Watch video demonstrations
    2. Find out more information
    3. Go directly to each artists site to contact and book
  2. Features professional artists who
    1. Provide quality programming
    2. And meet the standards required to present library, school and city shows.
  3. Additional benefits to the artists who participate in our directories and showcases.
  1. Showcase time slots are just under 5 minutes in length.
  2. You will be notified about your showcase time slot. Keep in mind that your showcase presentation time may vary and is not an exact time. Therefore, please check in at your assigned stage location 30 minutes before you are to present.
  3. You must be at the side of your stage, ready to set up, 15 minutes before your time slot.
  4. The stage is a split stage so you have 5 minutes prior to your demonstration to set up on your side of the stage while the demonstration is ongoing on the other. You need to make every effort that this set up is done quickly, quietly, and does not intrude on the other performer.
  5. All set ups required for a demonstration must be able to be set up and taken down within 3 minutes. Larger set ups must be noted on the application under NEED ADVANCE SET UP. In those cases, artists can put their larger set ups on stage to be moved quickly on, off, or to the back of the stage.
  6. All special sound requirements need to be sent to us in advance of the showcase. We will have the ability to play cd's or mp3s and will have someone to play them. You need to have everything you want done written out and noted.
  7. We use our own sound system, so no other system can be set up. If you want to use your own microphone(s) you need to notify us in advance so we can arrange to get you plugged into our system and the sound checked out.
  8. Failure to be at your side of the stage and 10 minutes before you present will cause you to be bumped from the showcase and you will not get a 3-minute slot at the end.
  9. We suggest arriving at the showcase at least 1 hour ahead of your scheduled time.
  10. Table spaces at the expo will be made available prior to the showcase starting. We will let you know at what time that will be and remember that they are 1st come 1st serve to have a location.
  11. We also try, when time permits, to give presenters with no time slot on the day of the showcase, and who are in attendance at the end of the showcase, a 3-minute time slot to give quick information on their program. Presenters can sign up on the day of the showcase to participate at the artist check in table.
  12. We suggest demonstrating your Summer Reading Program, but you can demonstrate any year-round demonstration you wish to do.
